Hello there! At OpenWorks Canada, we’re seeking a Medical Virtual Assistant for one of our clients! The ideal candidate will provide comprehensive support to healthcare professionals in a remote capacity.
ABOUT THE ROLE
- Location: LATAM (Colombia, México, Argentina, Venezuela, Chile, Brazil / Brasil, Nicaragua, Honduras, Costa Rica, El Salvador, Peru, Panama, Guatemala, etc.)
- Type of contract: Part-time (20 hour per week). Contractor Modality (pay per hour), 100% remote set-up.
What You’ll Do
- Manage Email Inbox: Handle incoming emails, prioritize messages, and respond to inquiries promptly.
- Set Up Folder Structure: Organize email folders and establish a structured system for easy navigation and retrieval of messages.
- Set Up Rules for Autoprocessing Inbox: Implement rules and filters to automate email processing and optimize workflow.
- Manage Calendar/Appointments: Schedule appointments, manage calendars, and coordinate with patients or clients for scheduling changes.
- Handle Travel/Logistics: Arrange travel arrangements, including flights, accommodations, and ground transportation, for medical professionals as needed.
- Admin Tasks: Perform various administrative tasks, including data entry, document preparation, and file organization.
- Administrative Support for Client Meetings: Provide administrative support for client meetings, including preparing agendas, taking minutes, and coordinating logistics.
- Coordinate with Rest of Team: Collaborate with other team members to ensure smooth communication and coordination of tasks.
- Organize Digital Files: Maintain organized digital files, including documents, images, and other media, for easy access and retrieval.
- Organize Google Drive: Manage and organize files and folders in Google Drive to facilitate efficient document management and collaboration.
- Organize: Fill in specific additional task, such as organizing inventory, patient records, etc.
- Managing Contacts in BBM App: Update and manage contacts in the BBM App to maintain an accurate database of contacts.
- Setup & Update Project Management Tool: Utilize project management tools to track tasks, deadlines, and project progress, ensuring timely completion of assignments.
- Create Standard Operating Procedures (SOPs): Develop and maintain standard operating procedures to streamline workflows and ensure consistency in tasks.
- Research & Copywriting using ChatGPT and AI Tools: Leverage ChatGPT and other AI tools to conduct research and create content for various purposes, including lead magnets, video scripts, webinars, and blog posts.
Secondary tasks
- Data Analysis: Track social media, website traffic, and SEO performance. Generate reports and suggest improvements.
- Content Creation: Design graphics, reports, presentations (Canva), and manage email marketing campaigns (scheduling, A/B testing, analysis).
- Social Media Management: Create engaging content (graphics, reels) across platforms (Facebook, Instagram, etc.), repurpose content for different formats, and manage audience engagement (comments, DMs, Facebook groups).
- Website Management: Create graphics (Canva) and update website content (blogs, copy).
Here’s your Playground
- Proven experience as a virtual assistant, preferably in a medical or healthcare setting.
- Strong organizational skills and attention to detail.
- Excellent English communication skills, both written and verbal.
- Proficiency in email management and calendar coordination.
- Ability to multitask and prioritize tasks effectively.
- Familiarity with medical terminology and healthcare procedures (preferred).
- Comfortable using ChatGPT or similar AI tools for content creation.
BENEFITS
- Salary range: $11 – $22 USD per hour.
- 100% remote set-up, based on “Contractor” model of contract.
